Kingsbridge Healthcare Group are currently seeking to fill the role of Administration Officer within the Outcomes and Outpatients department. The successful candidate will be based in Titanic Quarter, Belfast, with the potential for home working and will join a growing team of administrators that are responsible for various data processing activities that support the patient pathway.

Job Summary

Kingsbridge Healthcare Group are seeking to appoint an Administrator who is highly motivated and committed to producing quality results and enjoys working in a fast paced and busy environment. The Outcomes and Outpatients Team carry out processing tasks that support successful patient pathway management. These services include but are not limited to monitoring and completion of outcomes for NHS and other public sector contract patients, the facilitation of typing for consultants, radiology report processing and monitoring and processing of information received from consultants via the Kingsbridge consultant portal.

As an Administrator for Kingsbridge Healthcare Group, the successful candidate will gain an overall knowledge of the complete Patient Pathway, from consultation through to discharge.  He/she will also see how each of the teams are interconnected and when required communicate with internal teams to resolve any queries tasked to the team.

 

Key Responsibilities:

  • System updates for pathway management and billing associated with public sector contract patients. 
  • Typing Service – Proof-reading clinical letters where required, monitoring and management of the typed letters through the Portal System, sorting of letters in preparation for printing and posting.
  • Processing of consultant instructions received via the portal system.
  • Radiology Report Processing – download of authorised radiology reports and communicating them to the appropriate referrer.
  • Efficiently answering enquiries from other internal teams.
  • Accurate record keeping of all interactions will be essential in order that maximum value can be derived from any potential patient enquiry.
  • Efficient, effective, and focused response to all enquiries via telephone and email while displaying empathy and working to resolve patient queries.
  • Following up on enquiries by phone and email.
  • Proactively follow the Patients’ Pathway to ensure Consultations, Investigations, Procedures and Reviews are all booked accordingly.
  • Process and book all referrals within appropriate time frames.
  • Scheduling of surgical procedures within specific time scales.
  • Ensuring that all patient treatment records are accurate and up to date.
  • Liaising with colleagues across a variety of teams.

Person Specification:

Qualifications

Essential:

  • 5 GCSE grades A-C including Maths and English or equivalent

Desirable:

  • Previous experience of CRM/databases

 

Experience

Essential:

  • Evidence of experience in the full MS Suite including Word and Excel

Desirable:

  • Background in medical administration

 

Special Knowledge and Skills

Essential:

  • Understanding of the General Data Protection Regulations and importance of confidentiality

Desirable:

  • Knowledge of medical terminology
