Job Summary

  • To assist the Quality Manager in the implementation and oversight of the Quality, and Patient Safety programme by assisting with key documentation support.
  • To assist the Quality Manager in the development and maintenance of core systems and databases to enable fast and effective collation, analysis, reporting and presentation of key performance measurements throughout the Hospital.
  • Provide information to the Quality and Safety Committee on Quality and Audit activities.
  • Conduct Internal Audits under the direction of the Quality Manager and Clinical Managers and organise reports for the Quality and Management Committee Team Meetings. 

Key Responsibilities:

  • Support the Quality Manager in producing information, reports and presentations, by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
  • The post holder will be responsible for document control for the Quality Team including policies, incident & complaint documents, audit tools, minutes, and all quality related documentation.
  • Develop and maintain excel audit tool kits and templates.
  • Maintenance of the external policy database.
  • Developing mechanisms to automate the internal auditing system and the implementation of the Joint Commission International (JCI) Standards as advised and supported by the Quality Manager.
  • Provide administrative support to the Quality Manager.
  • Manage and distribute internal quality documentation.
  • Compile and prepare reports for the quality meeting on a monthly, quarterly, and annual basis.
  • Conduct Patient and staff satisfaction surveys and analyse and present reports as directed by Quality/General Manager.
  • Ensure the efficient day to day administration of the Quality and incident & complaint management programme.
  • Accurate minute taking for relevant dept meetings.
  • Maintain own knowledge of relevant Hospital policies, procedures, guidelines and practices to perform the role effectively and to ensure current work standards are met.

Person Specification:

Essential

Qualifications

  • Leaving Certificate - 5 grades A-C including Maths and English or equivalent

Experience

  • Experience of experience in the full MS Suite including Word, Excel and Outlook.
  • Experience in collating data, preparing accurate reports, letters and briefings, and delivering within deadlines.

Special Knowledge and Skills

  • Strong written communication skills
  • Strong numeracy skills including the ability to analyse data
  • Excellent Communication and Interpersonal skills
  • Excellent Organisational and time management skills to meet objectives within agreed timeframes and achieve quality results.
