3fivetwo Healthcare part of the Kingsbridge Healthcare Group are currently seeking to recruit an Operations Supervisor in their Outpatients Department. The successful candidate will be based at our Titanic Quarter office but may be required to travel to other company locations, as required.

Job Summary

We are looking for an experienced operations supervisor to help us implement the right processes across the company and enable business growth. You’ll assess our departments’ operational methods and propose ways to improve them.

Project management and effective communication are important operation supervisor skills. To succeed is this role, you should also be a good problem-solver with sharp, analytical thinking.

The post holder will monitor the efficiency of a department and apply methods to improve processes, such as customer service and data analysis procedures. The operations supervisor will be responsible for the smooth running of planning and scheduling function, offering services to patients through the effective management of the patient booking and enquiries. The successful candidate will liaise closely with the Operations Manager and other departments across Kingsbridge Healthcare Group to ensure the provision of service to all internal and external clients meets the high standards of The Kingsbridge Healthcare group.

Key Duties & Responsibilities:

  • Management of busy Enquiries & Booking Team, driving high level of performance and understanding of overall business strategy.
  • Effectively schedule work to deadlines and balance work priorities.
  • Implementation, monitoring and providing management report of department KPI’s to ensure the ongoing delivery of Key Performance targets, ensuring efficiency and maximum utilization of available appointment capacity.
  • Management and forecasting of the capacity in cooperation with internal teams.
  • Management of the clinic’s utilization
  • Track key performance indicators (KPIs) across different functions, including IT, customer support and finance.
  • Monitor compliance with operational policies and the progress of administrative tasks (e.g. managing inventory).
  • Identify training needs and co-ordinate delivery.
  • Assist in recruiting, managing, and developing the staff team
  • Effective planning - Plan, prioritize, organize, and review progress of both own and others’ work. Ensure all plans are followed and objectives are met.

  • Lead and drive efficiency through innovation and teamwork.

  • Able to manage a busy team and understanding the overall business strategy.

Person Specification:

Qualifications

Essential

  • Educated to Degree level or minimum of 5 years’ experience in Management position.
  • Evidence of experience in the full MS Suite including Word and Excel.

Desirable

  • MS Excel qualification

 

Experience

Essential

  • Experience within a customer service or customer relationship management role.
  • Demonstrable ability and understanding of successful project delivery.
  • Demonstrate previous experience in development and implementation of operational KPI’s
  • Experience of working to strict deadlines within a complex business environment

 

Special Knowledge and Skills

Essential

  • Excellent communication skills.
  • Understand the role of teamwork in providing a quality service.
  • Understand the need for efficiency and ability to prioritise.
  • High Proficiency in Excel

 

Training and Development

Essential

  • Commitment to on-going development and willing to undertake training when necessary.

Desirable

  • Evidence of training in a business support or customer service organisation.
  • Previous experience of process review/ implementation and change management.
